SpecialistLocation: Partially Remote (Must live within 50-mile
radius of Boston) office for periodic in-office work (less than 50%
of the time on average).What you'll do:The Events Specialist's role
supports the execution of national/regional customer-facing events,
exhibits, sponsorships, and conferences with guidance from their
manager. In this capacity, the Events Specialist will collaborate
effectively with both internal and external teams to successfully
complete tasks that align with established strategic objectives,
timelines, and goals. The Events Specialist will contribute to the
monitoring of the overall outcomes of events, exhibits, and
sponsorships participation. The Events Specialist will be
responsible for solving straightforward problems that may arise in
the planning process. Additionally, the Events Specialist will
handle various administrative functions as needed. The Events
Specialist will update existing digital sample experiences for
HMH/Heinemann/NWEA Solutions in the HMH CMS utilizing the approved
template.
- Collaborate with internal stakeholders to execute select event
strategies, and coordinate staffing with guidance from their
manager.
- Coordinate assigned aspects of small conferences, exhibits, and
events with guidance from senior event team member(s).
- Assist in the coordination of show services by collaborating
with multiple external vendors and contractors to ensure the
successful execution of conferences, events, exhibits, and
sponsorships as assigned.
- Pull reports on conference and event registration site
performance via Cvent and socialize with stakeholders in a timely
manner, as directed.
- Support initiatives focused on enhancing customer satisfaction
and engagement.
- Build productive internal and external working relationships to
execute mutually agreed upon goals.
- Collaborate with manager to schedule, train, and direct on-site
staff for small conferences and events to ensure smooth
execution.
- Submit requests to senior event team member(s) for the creation
of Cvent event websites and online registration sites.
- Deploy post-conference surveys and consolidate feedback to
share with manager.
- Monitor sponsorship contracts to fulfill deliverables.
- Responsible for keeping event, exhibit, and sponsorship
information up-to-date utilizing various departmental systems and
software (SalesForce, Box, Workfront, Welcome, Marketo, Integrate,
etc.).
- Maintain materials stored in home office and third-party
vendors and coordinate shipping as needed.
- Review and process invoices and contracts to ensure timely
payment.
- Manage departmental email inbox and communicate accurate and
timely information to internal and external customers.
- Assist in the updating of existing digital sampling sites
utilizing the Content Management System (CMS) and FlipHTML.What
you'll need:
- Minimum 2-4 years of experience in marketing, hospitality,
event management, or a relatable field.
- Ability and willingness to travel up to 20% of the time and
work long hours, including evenings and weekends.
- People skills needed to collaborate with cross-functional teams
of product marketers, partner support, sales, and logistics
staff.
- Ability to multi-task and manage multiple projects at a
time.
- Excellent written and verbal skills.Preferred:
- Bachelor's Degree or an equivalent.
- Experience working in the hotel industry, helpful.Houghton
