Coordinator within Investor Services' innovation team is
responsible for collaborating with senior executives to develop and
coordinate various initiatives across the organization. The
innovation team is responsible for the generation of ideas using
market back research as well as running the concept development
cycle for those ideas that preliminarily satisfy business
requirements. The concept development process follows the agile
methodology, and the business management analyst is tasked with
administrating the agile rituals, suggesting and implementing
process improvements, tracking deliverables, producing
retrospective/feedback summaries and suggesting/tracking training
modules to support the team.Responsibilities include but are not
limited to:
- Preparation of meeting materials, coordination of various
meeting forums including agenda preparation and material
distribution (sprint kick offs and close outs, daily stand ups,
etc.)
- Incorporation of feedback in materials through revision
sessions
- Production of reporting and coordinating various initiatives
across the organization
- Providing administrative support for the organization
(including but not limited to: coordination of meetings, ISM/system
access, travel plans, ordering of supplies and equipment)Key
Responsibilities:Business Management
- Collaborate with senior leaders to develop, draft, and finalize
materials for various committees/ meetings
- Coordination of input/feedback across leadership team
- Ownership of tracking of deliverables supporting the
organization's strategy (supporting up to 3 concepts)
- Coordination of various organization initiatives (offsites,
working sessions, etc.)
- May assist with compiling and developing annual budget
information
- May assist in supporting research with external parties
- Assist Communications as requiredReporting/ Processing
- Collaborate with senior leaders to develop various
reporting
- Completes daily and monthly reporting as assigned
- Generates regular scheduled reporting, as assigned
- Processes invoices, as assignedAdministrative Support
- Schedules meetings within the agile framework as well as ad
hoc
- Composes memos and transcribes notes as assigned
- Processes ISM/security access requests
- Arranges travel plansProject Coordination
- May assist with event planning
- Handles multiple projects as assigned
- Coordinates phone, equipment, and technology requests
- May assist in building or floor moves
- Assists with assembling requests for proposals
- Researches and creates presentationsKnowledge & Skills:
- Strong proficiency with Microsoft Office Suite including Word,
Excel, and PowerPoint
- 2-4 years of experience in a similar function and/or
industry
- Proficiency in collaboration tools such as Mural, Microsoft
Teams, SharePoint, Confluence is preferred
- Possesses a strong interest in innovation and new concept
development work
- Very strong verbal and written communication skills
- Possesses a high level of accuracy and organizational
skills
- Possesses strong client service and problem-solving
orientation
- Maintains a high level of trust and confidentiality
